To use the Map reservation system you need to login to the site using an authentication provider such as Google who provide a unique ID (e,g. a gmail address for Google) which allows us to identify you when you return to the site. This means you can amend or delete existing entries and enter new events without having to retype all your information. No additional information beyond the ID and when the account was created and last accessed is associated with your account. No other data that the authentication provider may have on you is accessed by the map reservation system.
The site also allows you to save the data about any runner(s) for whom you regularly enter which is required for an event entry.
You may only use the system for registering your own details and for those of other friends and family who have granted you their permission to do so. If you are registering a person under 18 years of age you must obtain permission from the parent or legal guardian of the person you are registering.
When you enter a specific orienteering event the data you provide or the details you have saved for the runner are copied to the event entries list. This list is used by the organising club in managing aspects of the event such as runner safety, map numbers, start times / blocks, and the generation of results during and after the event. By entering an event you agree to the organising club using the data in this way and using it in their result processing software. You are also agreeing to your data, excluding the "Safety Information" and "SI card number", being used in the generation of the event results which will be published and become part of the public record.
If you choose you can provide an email address so that you can be added to the distribution list for emails informing you of when entries for our next event opens. You can unsubscribe from the mailing list at any time either using the unsubscribe link on the email or by changing your subscription preference when you next enter an event on hh.mapreservation.org.uk.
Saved Runners can be deleted irrespective of whether they are entered for any current events using the X delete icon next to their details on the My Runners page. If you delete a Saved Runner you can always re-save them at a later point or enter them in an event directly.
You can delete any of your entries up until the closing date for the event by clicking on the X delete icon on the map reservation page. After that point it gets transferred to the club's event archive and cannot be deleted through the website.
If you no longer wish to use map reservation, you can, if you are logged into site, use the "Delete All" Function on the 'My Runners' page. If you choose to do this your list of saved Runners will be removed, any entries you may have for open events will be deleted, and the record of you authentication ID deleted. If you wish to use Map Reservation again you merely need to login again with one or other authentication provider but you would need to re-add any Saved Runners you require and reenter any runners you might have entered for open events.
Cookies are small pieces of information that are stored by a website on your device. Cookies can be categorised on the basis of their lifetime as Session cookies which only exist while you use the website, or more accurately until you close the web browser, or Persistent cookies which are stored on your hard disk and survive across multiple visits. Map reservation only uses session cookies to record the fact that you have successfully logged onto the system. No personal information is stored in this cookie and it is automatically deleted when you log-off or close your session. This cookie is essential for the operation of the Map Reservation system and you will not be able to use the site if you do not allow it.
